These Terms and Privacy Notice apply to use of the GoingSpots Dispatch web application provided by Saroian.
By using the application, you agree to use it responsibly and only for authorized internal transportation
scheduling, dispatch, and front desk coordination purposes.
Authorized Use
This application is intended only for staff or approved users of the organization using it. Access credentials
and approved work emails may not be shared. Users must access only the resident and appointment information
they need for their assigned work.
Minimum Necessary Information
Users must enter the minimum information needed to schedule and coordinate transportation. Do not enter
diagnoses, medications, treatment notes, clinical instructions, emergency requests, financial account
information, Social Security numbers, government ID numbers, payment card data, or other information that is
not necessary for dispatch.
Independent Application
This application was independently made and is not created, owned, sponsored, endorsed, or officially
maintained by any senior living company, management company, healthcare organization, transportation provider,
or other organization that uses or is referenced within the application, unless expressly stated in a separate
written agreement. References to an organization, logo, community, location, resident, or staff member are for
internal scheduling context only.
No Emergency or Medical Service
The application is a scheduling and recordkeeping tool only. It is not an emergency response system,
medical device, medical record system, clinical decision tool, or substitute for staff judgment,
professional care, transportation policies, resident monitoring, or emergency procedures. Urgent, medical,
clinical, safety, or emergency matters must be handled through the organization's approved procedures.
Accuracy of Information
Saroian does not guarantee that information entered into the application is complete, accurate,
current, or suitable for a particular purpose. Users and their organization are responsible for verifying
ride details, resident information, driver assignments, pickup and dropoff times, destinations, and any
special transportation needs before relying on them.
Data and Privacy
The application may contain resident names, unit numbers, appointment details, destinations, notes, driver
assignments, work email addresses, and other sensitive operational information. Users and their organization
are responsible for using, storing, sharing, exporting, retaining, deleting, and protecting that information
in compliance with their own policies, resident notices or consents, contracts, and applicable laws.
Third Party Services
The application may use third party infrastructure such as web hosting, Google Apps Script, Google Sheets,
browser storage, and user devices to transmit, store, or display application data. The organization using the
application is responsible for configuring those services, limiting account access, reviewing vendor terms,
and deciding whether those services are appropriate for the data it chooses to enter.
HIPAA and Regulated Data
The application is not intended to be used as a system of record for protected health information or other
regulated health data unless the organization has completed its own legal, privacy, security, and vendor
review and has any required agreements in place. Unless Saroian has signed a separate written business
associate agreement or similar regulated-data agreement, Saroian is not acting as a HIPAA business associate.
Local Storage and Backups
The application may store session information in the browser on the device being used and appointment data in
the configured backend spreadsheet. Browser storage can be cleared, overwritten, copied, or unavailable.
Exported files may contain sensitive resident information. Users and their organization are responsible for
protecting devices, spreadsheet access, downloaded files, and backups.
Security Incidents
Users must promptly report suspected unauthorized access, incorrect recipients, lost exported files, exposed
devices, or other security or privacy incidents to the organization using the application. The organization is
responsible for investigating incidents and making any notices or reports required by law, contract, or policy.
Availability and Changes
The application is provided on an as-is and as-available basis. Saroian may update, change,
suspend, or discontinue features at any time. Saroian does not promise uninterrupted or error-free
operation.
Limitation of Liability
To the fullest extent permitted by law, Saroian is not responsible for losses, claims, damages,
delays, missed rides, scheduling errors, data loss, privacy incidents, operational disruptions, or other
issues arising from use of, inability to use, or reliance on the application.
Organization Responsibility
The organization using the application is responsible for training users, setting internal procedures,
protecting access to devices and data, reviewing exported files, and ensuring the application is appropriate
for its workflow.
